In order for you to travel with Black Leisure Travel you MUST be at least 21 years of age at the time of booking. Once you have submitted your travel booking, and your payment has been processed you will receive an email confirmation from us within 10 business days. Lastly, our trips are not suitable for those with mobility issues as we will not be able to accommodate those with reduced mobility, medical conditions/disabilities and those requiring assistance.

When Traveling with Black Leisure Travel

Trip Participation: You agree to accept the authority and decisions of our employees, Travel Directors and agents whilst on trip with us. If in the opinion of any such person(s) or any other person in a position of authority (such as, for example, a local supplier or hotel manager), your health (including impact of an epidemic or pandemic), level of fitness or conduct at any time before or during a trip is endangering or appears likely to endanger your health or well being or any third party (including any of our other guests) or the safe, comfortable or happy progress of the trip, you may be excluded fr om all or part of the trip without refund or recompense. Where you are excluded, we will have no further responsibility towards you (including any return travel arrangements) and we will not meet any expenses or costs incurred as a result of the exclusion. In the case of ill health, we may make such arrangements we see fit and recover the costs thereof fr om you.

 

Many Optional Experiences are operated by independent third party suppliers. These are not part of the vacation package provided by us. Your contract will be with the operator of the experience. We are not responsible for providing the experience, or anything that happens during the experience. Some experiences involve outdoor activities and/or can be physically demanding and may require signature of a waiver. You must make your own decisions about experiences and participate only in activities that suit your physical ability: we suggest that you speak with your medical provider if you have questions about your abilities. We recommend you check whether any insurance you have also includes your participation in adventure activities you may undertake.

 

COVID-19: An inherent risk of exposure to COVID-19 exists in any public place wh ere people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. According to the WHO senior citizens and guests with underlying medical conditions are especially vulnerable. We ask that you please take personal responsibility for your well being. This begins with packing any personal protective equipment and sanitizers you require. Please adopt physical distancing and hygiene practices throughout your pre-trip travel arrangements and follow all health instructions whether physical signage, or requests fr om our professional staff, once you are vacationing with us. To travel with Black Leisure Travel, you voluntarily assume all risks related to exposure to COVID-19.

 

Health Requirements:Check with your healthcare provider for up-to-date requirements. You may also check the Centers for Disease Control (www.cdc.gov) and/or the World Health Organization (http://www.who.int/en/) for their recommendations. Required inoculations, if any, must be recorded by clients' health practitioner on a valid vaccination certificate which the client must carry for proof of inoculation wh ere required. Individuals with heart disease, chronic illness, physical handicap, advanced pregnancy, or mental illness should not participate in these rigorous travel programs. Any person who arrives to the destination ill with apparent fever or becomes ill during the tour, will be removed from the group and directed to a local medical facility for diagnosis. Only upon clearance by an accredited medical facility will that individual be allowed to resume group travel. All costs associated with medical treatment and related expenses such as additional hotel nights or transportation not included in the original itinerary, will necessarily be borne by the passenger.

 

Please note that some countries may require aircraft cabin insecticide treatment for in-bound foreign flights. A list of such countries is available at:http://www.dot.gov/.../avi.../aircraft-disinsection-requirements

 

Code of Conduct: Black Leisure Travel is here to provide the best services possible but in doing so we will not tolerate abusive or aggressive behavior from our guests. We will refuse to deal with and may terminate the vacation of guests who assault our Black Leisure Travel staff, suppliers or fellow guests or who are abusive or aggressive to them and are generally affecting the enjoyment of others with their behavior and you may be barred from future trips with Black Leisure Travel.

 

This may include (but is not limited to):

a. verbally abusive or offensive language towards anyone;

b. bullying behavior;

c. inappropriate or abusive behavior including uninvited physical contact, harassment, violence or threat of violence;

d. excessive consumption of alcohol or intoxication;

e. the possession, carriage or use of restricted substances or drugs (except for medical purposes approved by your doctor); f. failure to comply with Black Leisure Travel’s (including a representative’s) reasonable direction;

g. conduct which, in Black Leisure Travel’s opinion, is not compatible with other guests’ general enjoyment and well-being or the smooth operation of the trip;

h. the possession, carriage or use of dangerous items (such as weapons);

i. breaking the law of the Country in which you are traveling; and

j. any behavior or conduct which brings Black Leisure Travel into disrepute or damages its goodwill.

 

When you make a booking, you accept responsibility for the proper conduct of all members of your party during your travels with Black Leisure Travel. We reserve the right at any time and at our discretion to terminate the travel arrangements and/or cease to deal with any party member(s) whose behavior, in the reasonable opinion of us or our suppliers, may cause danger, upset, disruption or distress to anyone else or damage to property. Full cancellation charges will apply and no refund will be made. We shall have no obligation to pay compensation or meet any costs or expenses (including but not limited to alternative accommodation and return transportation arrangements) guest may incur as a result of the travel arrangements being terminated.

 

You must immediately report any pre-existing damage in your room to accommodation staff and/or a Black Leisure Travel Trip Director. If you damage the accommodation in which you are staying or any property, you must reimburse the accommodation provider or property owner concerned for the cost of the damage before the end of your stay if the cost has been established by then or as soon as it has been established if later. You must indemnify us for the full amount of any claim (also including legal costs) made against us. Criminal proceedings may be instigated. Black Leisure Travel is not responsible for any costs incurred concerning a guest removed from a trip or aircraft, ship or train. Guests agree not to hold Black Leisure Travel or any of its related entities liable for any actions taken under these terms and conditions.

 

Leaving the trip early: The price does not cover costs and expenses, including your return home, if you leave the trip whether of your own volition, our decision based on behavior that disrupts the trip, due to illness, action by any government or other reason.

 

ON-TRIP COMMUNICATION Communication while on the trip will be via WHATSAPP. All trip participates are asked to download the app before arrival into the country we are visiting.

 

INVOICING Invoices are available on the 10th of each month via the customer portal. Black Leisure Travel does not provide invoices upon special request. Each customer will receive one (1) invoice per month on the 10th of each month.

 

If a customer wants to pay off a trip, they should email Black Leisure Travel at support@blackleisuretravel.com between the 1st and 10th each month. Black Leisure Travel will send out an invoice to pay off the remaining trip balance on or before the 8th of each month. Request to pay off trip invoice will only be accepted between the 1st and 10th of each month.

 

Travel Documents All relevant trip documents will be uploaded to the customer portal as outline in the critical trip document section of this trip registration form.

 

Travel Insurance We encourage all passengers to take out adequate travel insurance coverage to protect themselves against cancellation due to illness prior to or during travel. In the event of a traveler becoming ill during a tour, all hospital and medical expenses are the traveler's responsibility and they shall not be entitled to any refund, either total or partial, of passage money paid.

 

Recommended coverage should be at least the following amounts:

• Trip Interruption: Cost of the trip (excluding air)

• Trip Delay: $150/day, $750 total pp

• Emergency Evacuation: $100,000 pp

• Medical Expense: $25,000 pp

 

Air Transportation: Not included unless otherwise outlined in each trip’s itinerary.

 

Hotel Accommodation: All Hotel Accommodations will be a minimum of 4*. 

 

Please note that hotel room sizes, standards, facilities and services provided may vary from country to country and region to region and are often local in style and may not have air conditioning. Accommodations outside of the USA may not be in compliance with the Americans with Disabilities Act

 

Prices are per person, based on two persons sharing a room with private bath or shower. Triple rooms may be available on selected vacations in limited numbers. Triple or quad occupancy rooms may utilize rollaway beds and three adults may find these rooms small.

 

Every effort has been made to reserve two-bed rooms; however, on some occasions, rooms with one double bed may be the only option available. These rooms will be allocated to solo travelers and couples first; other rooms may feature a single bed and rollaway bed, murphy bed or sleeper sofa. A limited number of double rooms are available with our shared rooming service on certain trips. Black Leisure Travel shall not be responsible or liable for any claims or issues arising out of the shared rooming. Special room requests (adjacent, connecting or lower-floor rooms, as examples) must be made at time of booking.

 

Special room requests are not guaranteed and are based on availability at time of check-in. Many hotels, lodges and luxury tented camps are 100% smoke-free, including all guest rooms, restaurants, lounges, meeting rooms and public spaces. Smoking in a non-smoking room will result in a fine.

 

Substitute accommodation may be used sometimes. We try to use those of similar standard

 

Meals: Some meals are included as detailed on trip itineraries. Any special meal requirements, including allergies, must be provided at time of booking and are received on a request basis only. Black Leisure Travel cannot assure that special meal requests will be fulfilled and does not assume responsibility or liability if requests are not fulfilled.

 

WiFi: Complimentary WiFi service is available in the rooms and public areas of most hotel accommodations. In many countries complimentary WiFi is also provided on-board the motorcoaches, however this is not available in all locations.

 

Health, reduced mobility, medical conditions/disabilities and assistance when traveling:

• Guests must ensure they are medically and physically able to travel.

• Black Leisure Travel does not employ medical personnel. Any necessary medical attention must be sought at a local facility, if available, at the guest’s expense.

• Black Leisure Travel guided vacations include rough terrain, extensive walking over cobblestone streets, uneven pavement, steps and/or locations which may not be suitable for those with mobility issues.

• Black Leisure Travel cannot guarantee disability access or accommodations for guests traveling on international guided vacations.

 

Service Animals: Service and/or support animals cannot be accommodated on international escorted tours.

 

Booking Guidelines

1. You agree to be liable for any and all credit card payments disputes or other problems such as Fraud made to us or the supplier. You agree to reimburse Black Leisure Travel in cases of Fraud or Charge backs.

2. Reservations are subject to space availability in the appropriate class at the time of booking.

3. Although E-Tickets are currently available, not all itineraries may be eligible for E-Ticket option. If an E-Ticket is not available, a paper ticket will be issued and you may sel ect the method of delivery, some options are a chargeable item (Please see Shipping & Delivery section).

4. An email address must be provided with the booking in order for us to email a copy of an invoice.

5. Any deadline advised by the airline will override any option date in the PNR.

6. It is the responsibility of the passenger to ensure that he/she is in possession of a valid travel documents (passport, visa etc)

7. It is also the responsibility of the passenger to reconfirm their itinerary 72 hours prior to departure.

 

Early Return, Illness or Absence Early return expenses are the guest’s responsibility. There is no refund for absence or early departure fr om a trip, including but not limited to missed hotels, transfers, meals or sightseeing cruises or optional extensions. Black Leisure Travel urges you to purchase travel insurance which covers such circumstances. Black Leisure Travel makes no representation or guarantees concerning reimbursement, scope of coverage, or other aspects of any travel insurance policy or claim.

Passports, Visas and other Entry/Exit Requirements

All guests must be in possession of a machine-readable passport valid for 6 months after their trip return date along with applicable visas. Due to government imposed security/ immigration measures, passport and emergency contact information is required for all guests prior to the release of travel documents. It is the guest’s sole responsibility to secure and/or pay for any and all visas, or Electronic Travel Authorizations (ETAs), affidavits, immunizations, etc. that are required in order to be permitted entry into each destination. In some countries you may be subject to entry (reciprocity) fees and/or departure taxes/exit fees which will be collected at the airports upon entry/departure by local government authorities.

 

Where possible we strongly recommend obtaining any required visa or documentation prior to departure. Obtaining documentation while traveling can be a time consuming process and some countries will not issue documentation at the border. For some countries an invitation letter is required from the Ground Handler to send along with the visa application. Please note that entry to any country may be refused even if the required information and travel documents are complete. Black Leisure Travel will require full passport information (full name, date of birth, passport number, Nationality, issue and expiry dates) prior to final payment.

 

For up-to-date detailed information on travel documents and visas, entry/exit taxes and further information on entry and exit requirements please check with your Travel Agent or local consular services. Obtaining and carrying these documents is your sole responsibility.

 

Black Leisure Travel bears no responsibility for such information and will not be responsible for advising and/or obtaining required travel documentation for any guest, or for any delays, damages, and/or losses including missed portions of your vacation related to improper documentation or government decisions about entry.

Credit Card Recurring Payments Agreement

Your payments will occur at regular fixed intervals. 

 

You will not be able to amend the agreed upon fixed amount paid unless it is to pay off the remaining balance in full.

 

By agreeing to purchase a travel package form Beyond Vacation & Travel Services d/b/a Black Leisure Travel  you the traveler agrees to allow the same amount to be charged to the credit you submitted at the time of booking to be charged automatically at a regular fixed interval.

 

This allows payments to take place at a regular fixed interval.
 

Payments will run over a fixed period.

 

A regular agreement can initiate the payment whenever it is required.

 

The amount only has to be specified once by you, when the regular agreement is created.

 

If the amount is not specified when the agreement is created, the amount must be set at least two weeks before the first payment is due.

 

You cannot change the amount once the agreement has been created.

 

Note that the only change allowed is to pay off the remaining balance early and must be made at least 10 days before the next payment is due.

 

An agreement can be cancelled by you at any time.

 

What happens when you make a payment?

PayPal will immediately charge the credit card you provide at the time of your travel package purchase. Your monthly invoice which is available from Black Leisure Travel.com will provide details of any payments made during the course of the month. You will also receive and email confirmation at the point the payment is taken.

What happens when you set up regular payments?

Beyond Vacation & Travel Services d/b/a Black Leisure Travel uses PayPal to process all payment transactions. 

Recurring monthly payments to your chosen credit or debit card will be made via PayPal.

The initial payment will be charged to the credit card provided at the time of booking your travel package. The payments will cease on the last due date listed in your recurring payment plan. You will receive a confirmation email when the payment schedule has been paid in full.

What happens if you need to change your regular payments?

Once you agree to a travel package plan, recurring payment amounts cannot be changed except if you wish to pay off your balance early.

If you want to cancel your regular payments.

 

You must notify us at least 10 business days before the next scheduled transaction. To cancel your regular payments please email us at info@blackleisuretravel.com

 

If you need to update your account information.

 

Please send us an email at info@blackleisuretravel.com at least 10 business days before the next scheduled transaction for the update to take effect.

 

If a transaction is refused by your financial institution.

 

If your recurring payment is declined for any reason, including insufficient funds, closed account, or unauthorized account, PayPal will make 3 attempts per billing cycle.  If after the second billing cycle payment attempts have been rendered unsuccessful you travel reservation will be automatically canceled with no refunds provided nor will you be able to transfer any funds.

To raise any issues of concern you may email us at help@blackleisuretravel.com with the details of your complaint. We will aim to respond to you within 15 business days.

 

Confidentiality

We may share information we collect about you with external service providers to fulfill your travel related bookings. Our agreements with these service providers require that they protect your information and only use it to carry out the services they are performing for you.

 

Unauthorized Use

If you think your account has been accessed without your permission, contact us immediately at info@blackleisuretravel.com We also advise you to contact your financial institution.

Payments & Cancellation

Full Payment: All reservations can be paid in full at time of booking as long as the tour still has available space.

 

72-hour cancellation. The trip deposit will be refunded upon request 72 hours after the trip has been booked. After 72-hours of booking, no refunds of deposits will be given.

 

Non-refundable deposit and payments. After 72 hours of booking, no refunds of deposits or payments will be given.

 

Deposit Transfer to Another trip The trip deposit cannot be applied to another trip. Another trip includes the same trip itinerary that is offered on a different week than what was booked.

 

Late Payment: If there is any outstanding balance by the Final Payment Due date listed on your invoice, a late fee of $50.00 will automatically be added to your invoice one day after your final payment date.

 

Payment Transfer to Another trip Trip payments cannot be applied to another trip. Another trip includes the same trip itinerary that is offered on a different week than what was booked.

 

Deposit or Payment Transfer to Another Person Trip deposits nor trip payments can be transferred to another person.

 

Trip Cancellation Due to Missed Payment: Trip will be automatically cancelled after ONE missed payment. No refund of deposit or payments will be provided to a trip cancelled due to missed payments. If trip is cancelled due to missed payments, trip deposit cannot be applied to any future Black Leisure Travel trips. Attendees will be given a 5-day grace period after the 15th of the month to make their payment. If trip payment is not received by 11:59pm EST on the 20th of the month the trip will be automatically canceled. Trip Cancellation Terms

 

Reinstatement of Reservations: If your travel reservations have been cancelled, and you notify us within 14 days that you want to reinstate your reservations, a service reinstatement fee of $50 ($200 for international tours) will be added to your invoice and must be paid in advance in order to apply for reconfirmation of services.
